Student register (Leave of absence, reinstatement, expulsion, withdrawal, readmission)

The main changes in student status are as follows: Undergraduate students who wish to take a leave of absence or withdraw from the university, or who are considering doing so, will, in principle, be required to have an in-person interview.

We are temporarily suspending the acceptance of applications for leave of absence/withdrawal consultations from March 16th (Monday) to April 13th (Monday) at 8:59 AM. Those wishing to take a leave of absence or withdraw should apply for a consultation after the process resumes. Even those who complete the procedures in April, the start of the new academic year, will have their student status processed according to the leave of absence, withdrawal, and expulsion procedures outlined below.
The resumption of consultations regarding students taking leave of absence or withdrawing from school is scheduled for April 13th (Monday) at 9:00 AM.

If you have special circumstances, such as studying at another university or overseas, and wish to withdraw from the university within the 2025 academic year, please contact Student Center by phone during administrative hours by March 23rd (Monday) (TEL: 0422-36-3262).


*Priority will be given to those who have applied in advance. If you do not apply in advance, you may have to wait or we may not be able to accommodate you on the day.

promotion

Advancement takes place at the beginning of the academic year (April).
If you are enrolled in the current grade for one year (two semesters), you will be promoted to the upper grade at the beginning of the next academic year.
 
Since it is not the beginning of the semester, but the beginning of the fiscal year, there will be no promotion at the beginning of the fall semester.
In addition, there are no promotion conditions based on grades.
 
In addition, although there is a similar word to "enrolment", "Enrollment" is used with the following meanings at the university.
Currently enrolled in school
The state or period of attending school. Or how long you actually studied as a student.

enrolled
The state or period of belonging to (belonging to) an organization or group.
"Enrolled" refers to the state of paying Tuition (including facility fees, membership fees, etc.) and taking Lecture (or being able to do so).
Therefore, students who are on a leave of absence for which they have not paid Tuition cannot be counted as enrolled in school.

graduation

Graduation is recognized by meeting the following two requirements:

  1. Earn 124 Credit more Credit after meeting the requirements for graduation from each department.
  2. Students must enroll for 4 years (8 semesters) (3 years (6 semesters) for 2nd year transfer students, 2 years (4 semesters) for 3rd year transfer students).
 
Even if you meet only one of the requirements, you will not be allowed to graduate.
Whether it's acquiring Credit or registering, please check your situation carefully and try to spend your student life in a planned manner.

repeat a school year

If you are unable to earn Credit that meet the required requirements in your graduation year, your graduation assessment will be unsuccessful.
If you continue to enroll in the following year, you will be considered a ``repeat year'' student, and this change in student status will be granted at the beginning of the academic year.
 
If you repeat a year, you will need to have your student ID card reissued and the written oath signed by you and Guarantor.
 
If you repeat a year, you can choose to graduate at either the end of the spring semester or the end of the fall semester, depending on the status of your remaining Credit.
The selection method will be explained in Guidance for returning students at the beginning of the academic year.

leave of absence

A leave of absence refers to taking a leave of absence while still being ``enrolled'' at the university.
 
If you are unable to continue studying for two months or more due to illness or other unavoidable reasons, please submit a "Notification of Change of Student Status". The leave of absence period and application deadline for leave of absence are as follows.

* If the deadline for applying for a leave of absence falls on a day when the office is closed, the deadline will be until the next day when the office is closed.

  1. The period of leave of absence cannot exceed one year, but if you must continue your leave of absence due to special circumstances such as illness, please go through the procedures to extend your leave of absence.
  2. The period of leave of absence is not included in the "period of enrollment" according to School Regulations.
  3. Tuition fees during a leave of absence are 120,000 yen as a leave of absence enrollment fee and various membership fees for a one-year leave of absence, 60,000 yen as a leave of absence enrollment fee and various membership fees for a spring semester leave of absence, and 60,000 yen as a leave of absence enrollment fee for a fall semester leave of absence. return to school

Returning to school refers to a return from being on a leave of absence to being enrolled in school.
Students will be automatically reinstated at the beginning of the semester following the expiration of their requested leave of absence period.
As the time for returning to school approaches, Student Center will provide information regarding returning to school.
 
If you wish to continue your leave of absence after the expiry of your leave of absence, you can extend it by applying again.

Expulsion

Expulsion means losing your status as a student of this university by losing your student registration. The following persons are eligible and will be expelled after deliberation by Faculty Council.
 
  1. Those who have been enrolled for more than the specified number of years
    (Asia University students are enrolled for 8 years. However, transfer students are double the number of years they should be enrolled.)
  2. Those who have exceeded the period of leave of absence stipulated in School Regulations
  3. Those who have applied for withdrawal without paying the tuition for the relevant semester
  4. Those who have not paid their tuition fees two months after the deadline for payment.
  5. Persons who have been notified of death
  6. International International Student who have lost their status of residence as stipulated in the Immigration Control and Refugee Recognition Act

leaving school

If you wish to withdraw from the university due to illness or other unavoidable reasons, you must first undergo an interview at Student Center, have Guarantor co-sign, and submit a notification of change of student status.
 
The deadline for applying for withdrawal is as follows.

re-admission


If a student who has withdrawn from the university due to illness or other unavoidable reasons, or who has been expelled due to non-payment of tuition fees, applies for re-enrollment with Guarantor signature, they may be allowed to take the re-enrollment exam at the beginning of the academic year within two years of the withdrawal or expulsion. Tuition fees for re-enrollment students will be the same as for students enrolled in the same faculty and year. However, the admission fee will be waived.
